Preamble:

 

The 24th European Company Sport Games are organised by the French Federation for Company Sport (FFSE), hereinafter named “the Organiser”. The organisation of the event is carried out in the framework of the specifications determined by the European Federation for Company Sport (EFCS).

Affiliated with the French National Olympic and Sports Committee and approved by the Ministry of Sports and the Olympic and Paralympic Games, the FFSE offers innovative and effective solutions for integrating sport and its values into the corporate sphere. Training, creation of sports associations, events, personalized expertise, the FFSE accompanies and coordinates many projects.

The EFCS is a non-profit organisation whose main objective is to promote and develop physical exercise and sport in the workplace throughout Europe. THE EFCS. It includes 40 national federations who are responsible for the development of company sport in their country. In these federations the members are companies that differ in size, form and activity.

The European Company Sport Games (ECSG) is a unique event that brings together European employees from all social and geographical backgrounds over five days around the common values of sharing, conviviality, pleasure and performance. They are open to all members of the EFCS federations.

The elements here specify the general conditions of participation in the event and the confidentiality policy of the organiser.

General Terms and Conditions

 

 

  1. Acceptance of the general conditions

These general terms and conditions apply to any application for registration to the European Company Sport Games Bordeaux 2023 (below the ECSG Bordeaux 2023 or the Event).

By registering for the Event, the participant accepts the present conditions of participation. All the data provided by the buyer and the saved confirmation are proof of the transaction. Confirmation is considered as a signature and acceptance of the operations carried out.

The sales company must send confirmation of the registered order by e-mail.

These general terms and conditions may be amended by a mere notification from the Organiser to the other party. In the absence of written protest within 30 days after this notification, the amended general terms and conditions will apply from the day of notification to all legal acts and agreements to be concluded and to all agreements in force between the parties and current agreements, insofar as they are executed after the day of notification.

 

  1. Scope to general terms and conditions

These General Conditions do not apply to goods and services that you may have acquired, in any way, from a third party, whether that third party has been commissioned or licensed by the Organiser. The products and services covered by these General Conditions are only those supplied directly by the Organiser and ordered via the Event’s website – https://ecsgbordeaux2023.fr/en/registration.

French law applies to all legal relationships.

Jurisdiction reservation clause: Paris court.

 

  1. Registrations

a) Registrations for the event are made exclusively through the link https://ecsgbordeaux2023.fr/en/registration. They will take place between the dates of 14 June 2022 and 25 February 2023.

 

b) Registration is reserved for entities and individuals recognised by one of the members of the European Corporate Sport Federation. The list of members of the European Corporate Sport Federation is available here: https://www.efcs.org/members/.
Each member of the European Corporate Sport Federation sets its own membership conditions for its entities and individuals.

 

c) Registration entitles each participant to compete for a minimum of two days. The registration entitles the participant to participate in only one discipline in competition or in Leisure & Discovery. In addition, the off-stage race on Saturday is open to all ECSG Bordeaux 2023 participants.

 

d) Registrations are possible within the limit of available places. They are taken into account in the chronological order registered via the registration site.

 

e) If the number of registrations is not sufficient for a discipline, the Organiser reserves the right to cancel the Event or to group certain age categories together. The holding of the events is made official according to the number of participants.

 

f) Participation will only be considered once the full entry fee has been paid.

 

g) The registration fee is set at:

  • one hundred and eighty euros (€180) per participant;
  • one hundred euros (€100) per accompanying person.

A surcharge will be applied for:

  • Golf participants up to forty euros (€40);
  • Sailing participants up to fifty euros (€50);
  • and for participants in oenology up to one hundred euros (€100).

Registration fees are quoted in euros.

 

h) Registration fees are due by 28th February 2023 at the latest. Except in exceptional cases, only payments by bank transfer are permitted.

 

i) Registration of minors under 16 years of age is not permitted. The registration of minors between 16 and 18 years of age is subject to parental consent.

 

  1. Right of withdrawal

a) The right of withdrawal can be exercised by contacting the organiser in writing and by e-mail at ecsg2023@ffse.fr.

Reimbursement in case of withdrawal:

  • Cancellation until March, 14th 2023: 100% refund
  • Cancellation between March, 14th 2023 and April, 13th 2023: 50% refund
  • Cancellation after April, 14th 2023: no refund

It is possible to replace a registered person by another, free of charge, up to and including May, 13th 2023. From May, 14th 2023 onwards, the replacement of a participant by name is not guaranteed and must be validated by the organising committee.

 

b) In the event that the event is partially or entirely cancelled by the Organising Committee due to exceptional circumstances (pandemic or other), it will be possible to obtain a refund of the registration fees according to the following conditions:

  • Cancellation by the Organising Committee before February, 13th 2023: 100% refund
  • Cancellation by the Organising Committee between February, 14th and April, 13th 2023: 70% refund
  • Cancellation by the organising committee between April, 14th and May, 31st 2023: 50% refund
  • Cancellation by the organising committee after June, 1st 2023: 20% refund

 

  1. Accommodation

a) Participants are free to choose the accommodation of their choice within the framework of the European Company Sport Games.

 

b) In order to assist participants in their choice of accommodation, the Organising Committee has pre-reserved rooms and created an online booking platform: https://ecsgbordeaux2023.fr/hebergement/

 

c) Participants who choose the accommodation pre-booked by the Organising Committee must comply with the conditions set by the latter.

 

d) Participants must pay 30% of the total amount of the reservation at the latest 30 days after receiving the invoice.

 

e) Participants must pay the balance of the invoice no later than February, 28th 2023.

 

f) In case of withdrawal by the participant or in the event that the event is partially or entirely cancelled by the organising committee due to force majeure (pandemic or other), it will be possible to obtain a refund of the accommodation fees according to the following conditions:

  • legal deadline for withdrawal until February, 13th 2023: 100% refund
  • legal deadline for withdrawal between February, 14th 2023 and April, 13th 2023: 50% refund
  • legal deadline for withdrawal from April, 14th 2023 onwards: no refund

 

  1. Insurance and the specific terms and conditions specific of registration

a) When registering for the event, the participant confirms that he is in an appropriate physical and mental condition and possesses any required skills to participate in the event. He is nevertheless aware that my participation involves a certain degree of risk.  He confirms that neither the organiser of the event (The French Federation Company Sport) or the European Federation Company Sport (EFCS) nor any of its related companies are to blame in any way if he gets injured.

 

b) The participant must be in possession of a valid personal liability insurance and personal accident insurance that cover his participation. If it causes damage to anyone else or their property, he will accept the responsibility and will make sure that the organiser, the French Federation Company of Sport or any of its related companies will not incur any damage in this regard.

 

c) The participant must comply with the specific conditions of participation set by the member of the European Company Sport Federation on which he/she is geographically dependent https://www.efcs.org/members

For example, the French participants in the event must respect the specific conditions of participation of the French Federation of Company Sport (FFSE):

  • All participating entities must be up to date with their annual FFSE membership fee for the 2022-2023 sports season
  • All participants must hold an FFSE federal licence for the 2022-2023 season

 

d) The participant agrees to respect the sporting and safety rules of the competition as defined by the organiser. He/she shall present himself/herself at the competition with equipment that is in proper working order, correctly maintained and suitable for the event. Where the sporting regulations so require, he may only be allowed to participate after a safety inspection or check. Participation may be refused by the FFSE organiser or the EFCS at any time.

 

  1. Right of publicity

a) The French Federation Company Sport or such third parties as it may authorize from time to time will be entitled to capture and use audio recordings, video recordings and photographs (“Material”), from the Event and to use my name, image, voice, appearance, performance and biographical Material for any purpose (be it commercial, promotional or otherwise) in all media, forever.

 

b) The French Federation Company Sport may use, broadcast, view, display, reproduce and/or make available to the public the material in any media, including, but not limited to, radio, television, cinemas, events, data carriers and the World Wide Web. The French Federation for Company Sport can make changes, interruptions, cuts or other modifications in and to the material and to use such modified material without restriction. The participant is aware that he/she has no right to approve any of the materials. He/she understands that he/she may not be named as a participant in the event and does not expect to gain financially from his/her appearance in any material related to the event.

 

c) If not stated otherwise The French Federation Company Sport allows the participant to use his own camera at the event in order to record moving images and/or a series of still images/ shoot content (“Participant Content”). The use of such Participant Content is limited to private purposes on my own website and my social media channels. He understands that the French Federation Company Sport holds the intellectual property and media rights in the event and upon request he will provide the French Federation Company Sport access to the Participant Content. Any commercial use either herself or third parties is subject to the French Federation Company Sport´s prior consent.

 

 

Privacy Policy

 

  1. Personal data that we process

The French Federation for Company Sport (FFSE) processes your personal data by using our services and /or by providing it to us yourself. Often this involves the following data:

  • First and last name;
  • Sex;
  • Date of birth;
  • Address details;
  • Phone number;
  • E-mail.

 

  1. For what purpose and on what basis we process personal data

In most cases, the FFSE processes your personal data in order to able to carry out our services or to execute the order given to us to the organization of the European Company Sport Games. Your data is recorded for practical and efficiency reasons, such as:

  • Communication and information provision;
  • To be able to perform our services in the most efficient way possible;
  • The improvement of our services;
  • Invoicing and collection of our work.

 

Based on the above, we inform you that your personal data may also be used for marketing purposes or to send you advertising materials or messages about our services if we think that these maybe of interest to you. We may also contact you to request feedback on services provided by us or for market or other research purposes.

It is possible that want to process personal data for reasons other than those mentioned above and that we will explicitly ask you for permission. If you do not want to receive e-mails from us, you can indicate this by sending an e-mail to ecsg2023@ffse.fr. You can unsubscribe at all times for e-mails that we send by means of an unsubscribe link.

Finally, we may use your personal information to protect our property rights and those of our users and comply with legal proceedings if necessary.

 

The FFSE processes your personal data for the following purposes:

  • To register your participation at the event;
  • Handling your payment;
  • Sending our newsletter and / or advertising brochure;
  • Inform you about changes to our services and products;
  • To deliver goods and services to you;
  • To call or e-mail you if necessary to carry out our services.

 

  1. Automated decision-making

The FFSE does not take decisions based on automated processing on matters that can have (significant) consequences for people. This concerns decisions taken by computer programs or systems, without involving a person (for example, an employee of FFSE).

 

  1. How long we store your personal data

The FFSE does not process your personal data for longer than is necessary for the purpose for which it was provided. This means that your personal data will be kept for as long as they are necessary to achieve the relevant goals. Certain data must be kept longer, because we have to comply with statutory custody obligations (for example, the fiscal retention obligation).

 

  1. Sharing personal data with third parties

The FFSE shares your personal data with various third parties if this is necessary for the execution of the agreement and to comply with any legal obligation. In addition, FFSE shares your personal data with third parties if you have explicitly given permission for this. With companies that process data on our behalf, we conclude a processor agreement to ensure the same level of security and confidentiality of your data. FFSE remains responsible for these processing operations.

The FFSE uses only technical and functional cookies. And analytical cookies that do not infringe your privacy. This means that you can submit a request to us to send the personal information we have in your computer file to you or another organization mentioned by you. You can send a request for access, correction, deletion, data transfer of your personal data or request for cancellation of your consent or objection to the processing of your personal data to ecsg2023@ffse.fr.

The FFSE takes the protection of your data seriously and take appropriate measures to prevent misuse, loss, unauthorized access, unwanted disclosure and unauthorized modification.

 

  1. Incidents with your personal data

If there is an incident (a so-called data breach) concerning the relevant personal data, we will inform you without delay, unless there are serious reasons, if there is a real chance of negative consequences for your privacy. We strive to do this within 48 hours after we have discovered this data breach or have been informed about this by our (sub) processors.
